New Faculty & Staff Email Migration
Email Migration
Email migration has been an on-going process for the past 2 years.
As of August 1st 2010, some functions of the Email Migration may no longer be available.
Please review the main Migration Headquarters for the most up to date information after the August deadline.
Once you have activated your UTORid and created your UTORmail account, Faculty and Staff will want to migrate your basic UTORmail account to UTORexchange to have access to full email and calendaring functionality.
The process is outlined below. These step-by-step instructions are designed to be self-serve and can be completed at your own pace.
Alternatively if you wish, you can make an appointment with an Education Commons staff member to assist you with this process. Please call (416) 978-1802, send an e-mail to (portal@oise.utoronto.ca) or drop by the Help Desk on the 3rd floor during business hours to make a booking for a technician's assistance.
If you have not set up a UTORid yet, please follow the Education Commons Services section on obtaining a UTORid username and password.
1. Verify your UTORid Status
If you currently have a UTORid, please verify your UTORid username and password.
If you are not sure what your UTORmail address is (something@utoronto.ca), you can lookup your information on the UTORid change options page.
or use OISE homespace, then you are already set up with a UTORid account.
2. Complete The UTORmail Migration
UTOREXCHANGE
Note: If you would like more detailed instructions or further information, please consult the CNS exchange Migration website: Exchange > Migration instructions
Please follow these required steps in the correct order to complete the migration:
- Close your email client (Outlook, FirstClass, Entourage).
- Go to the UTORmail migration web page.
This link will open a new browser window so you can still access these instructions.
- Scroll down to the bottom of the page. Type your UTORid and password in the appropriate fields and click Authenticate.
- Click the Migrate button. You will be added to the queue waiting to be migrated.
- Do not close your web browser after you have clicked the Migrate button. Doing so will terminate the migration process and may leave you in an incomplete state. Once the migration is complete the page will change to indicate that your email has been migrated.
Yes, the page has indicated my migration was successful.
I get an error message saying there was a problem.
- If you receive an error message, it may be one of two different errors:
a.) an error indicating there is a problem with your account or a "database error". Please wait 24 hours and try the migration again. This normally occurs when there is a technical problem on the exchange server.
b.) an error message indicating there was a "database error", or a message that says you "do not qualify for an exchange account". Central Networking Services is NOT notified. You need to contact CNS directly to inquire why you do not qualify for UTORexchange. This normally occurs when there is an HR classification issue for various reasons like being temporary staff, etc.
Inquiries about all errors should be directed to "exchange@utoronto.ca" with your UTORid username or call the ITS helpdesk: 416-978-HELP.
If you receive an error message, please stop and wait for further instructions before proceeding.
- To confirm that your email has been migrated, go to the Outlook Web Access page at:
owa.utoronto.ca
Login with the following:
User name: UTORid
Password: UTORid password.
Now might be a good time to bookmark or save this website address.
3. Access your email via Outlook or Entourage on your computer.
Most Faculty/Staff computers at OISE are pre-configured to access the new UTORexchange email system using MS Outlook or Entourage software. All that is required is your UTORid username and password.
If your email is not working with your desktop application, please consult the specific Outlook or Entourage client configuration pages for instructions.
4. Contact the OISE Client Care Portal
Please contact the CCP (OISE Client Care Portal) and indicate you have completed your UTORexchange migration. The Dean's Office recommends that OISE users associate an @oise email address with an alias to their UTORexchange account. The CCP can create an @oise email address for you and link it to your account.
Yes, my migration was successful, and I can access my account via Outlook Web Access.
