Outlook Web Access (OWA)

Accessing UTORexchange through the Internet, no client required...


OWA Web Access:

Login via  or  bookmark the URL: owa.utoronto.ca

A few considerations:

  • Outlook, Entourage, Mac Mail or any other email client is not required to access your mail. Simply login from any internet connection using any web browser to retrieve your mail.
  • OWA has access to your entire UTORexchange account - email (+ sub folders), calendar and contacts (both the Global Address List, and your personal contacts saved in your UTORexchange account).


Handy Pointers

Below are the top questions and tips that OISE users have been asking about how to use the new Outlook Web Access (OWA) email & calendar program:



Bookmark/Save the website address & use Internet Explorer


Microsoft Outlook Web Access (OWA)

Bookmark or save this website address as a Favorite.  This will be your access to your email when away from the office.

Whenever possible, try to use the Internet Explorer browser.  It will provide you with a more advanced set of features compared to using Firefox or Safari.



Email signature

Outlook Web Access does NOT use the signature file that you save in Outlook 2007 (or Entourage) on your desktop computer.  You need to create and save a separate Signature file in Outlook Web Access.

Click on Options in the top right corner:

The second option is "E-mail Signature".  Fill out your signature and complete the remaining options.

Don't forget to click the Save button:


Access Contacts & Global Address List

You can search either your Contacts or the Global Address List when using OWA.

Firefox/Safari (lite version) - at the top menu, change "This Folder" to "Address Book": 

Internet Explorer - enter the person's name in the top menu field, or click on the "To:" button when composing a message:



Out of Office Assistant

Forgot to activate your out of office replies before you left the office?

No problem, the Out of Office Assistant is available in Outlook Web Access.


Just click on "Options" from the top menu, and then click on "Out of Office Assistant" from the left side menu. 

The same features from the regular Outlook Out of Office Assistant are available to you.

Don't forget to click the Save button:


Session time-out setting

Outlook Web Access (OWA) has two 'modes' that you can select before logging in: Public and Private.

In Public mode (the default) the OWA session will expire after 5 minutes of inactivity.
In Private mode, the session will be allowed for about 20 minutes.


Right click

Available with Internet Explorer only.

With Outlook Web Access, you can right click on items to receive more menu items.

In these examples, you can right click on a contact to create a new message, or in a email you can right click on the person's name to add them to your contacts:

In these examples, you can right click on folder, or right click on a message to reply:

Double Click

Available with Internet Explorer only.

"Double Clicking" on an item will open it in a new pop-up window (similar to the Outlook Client).

You can also double click on a space in your Calendar to create a new appointment.



Drag and Drop

Available with Internet Explorer only.

Drag & Drop is accomplished by left clicking on an item and while holding down the left mouse button, move the cursor to where you want to drop the item and release by letting go of the mouse button.

In this example, you can Drag & Drop an email message to move it into a sub-folder:


This example shows moving a calendar item to a different day and time:



Mobile devices

Outlook Web Access can access some features with your mobile device. 

Click "Options" at the top right, and then select "Mobile Devices" from the left menu.

If you lose your phone or mobile device, you can initiate a remote device wipe to protect your information.


Open a Shared Calendar

Available with Internet Explorer only.

If you have been granted permission to view another user's Calendar, you can access it via Outlook Web Access.

You must login to your own account with your own UTORid/password first.

Then, in the same IE browser, enter (or copy & paste) the following URL:


Remember to replace "utormail@utoronto.ca" with the email address of the person's calendar you are trying to view.


How do I find out my mailbox size?

Hover your mouse over your username:


You must use IE (Internet Explorer) with OWA (Outlook Web Access) to view this information.  Firefox or MAC will not display the information.
