Student Caucus 2011-2012 Meetings
SESE Student Caucus welcomes our students to participate in the life and interest of the department through committee membership and involvement in activities. Meetings are usually held in the SESE Seminar Room, 12th floor, Rm 12-274, 5:30-7:30 pm:

Student Caucus information for 2011-12
COUNCIL POSITIONS
Student Caucus Chair(s)
This position is a great way to get involved in the department! Although, it requires a substantial time-commitment that runs from October to September, this position is helpful in terms of getting to know SESE’s students, faculty and staff. Caucus Chair is a position held by either one student or may also be co-chaired by two students. The Chair(s) manage(s) all areas of Student Caucus, as well as, prepare(s) and distribute(s) all meeting agendas, organize(s) and run(s) each Caucus meeting, and sit(s) on several of Caucus’ committees. The Chair(s) must ensure that committees are regularly reporting to Caucus at scheduled meetings. (The Chair(s) report on behalf of committees where members are absent from Caucus’ monthly meeting) The Chair is also responsible for overseeing all finances of Caucus and has signing authority, along with the Treasurer, of Caucus’ banking activities. Although Chair takes on the majority of final decisions, due to Student Caucus’ democratic nature, she/he/they should always work within the support of Caucus’ majority.
General Assembly Chair:
The General Assembly (GA) Chair also requires a high level of time-commitment and responsibility, however, this position is another great way to work among various faculty and staff, as well as those students who attend meetings. GA Chair is a position held by one student from October to April, but is as well highly recommended to be a co-chaired position. The GA Chair prepares and distributes all meeting agendas in liaison with SESE’s Department Chair, organizes and runs each GA meeting, organizes a minute-taker during each meeting and then distributes the minutes before the next meeting, and stores all agendas and minutes for that academic year. The GA Chair is responsible for reporting about GA meetings to Student Caucus. Although the GA Chair works in conjunction with SESE’s Department Chair, there will be times when she/he is called upon to make final decisions, particularly in the Caucus Chair’s absence. In such cases, once again, the GA Chair is expected to work with the support of a Student Caucus majority (and if so required, also with the support of the GA majority).
Secretary:
This position is held by one student who is able to come to each month’s Student Caucus meeting. The Secretary’s role is to take minutes, store them for Caucus, and distribute the previous meeting’s minutes before each meeting. The Secretary’s responsibilities run from October to September (but summer months will only require one or two meetings at most).
Treasurer:
One student holds this position from October to September. Caucus Treasurer manages the Caucus’ financial portfolio. This student should be able to run, manage and store basic MS Excel spreadsheets, be available to do banking when needed (so, be available to take a phone call here and there), and work with OISE’s Graduate Student’s Association (GSA) to manage our “DSA Grant” (see next section). The Treasurer must attend and report (the status of our finances) at all Caucus meetings
Departmental Student Association Representatives
Each Departmental Student Association (DSA) of OISE/UT receives funding from the GSA in order to run activities for its students. This funding is known as our “DSA Grant”. In order to maintain this DSA Grant, we must have four DSA representatives on the GSA Council (also known as “GSA reps”). The responsibility of these reps are to have at least two reps attend each GSA Council meeting that are held monthly from September to April, and those who attend must report the meeting’s events back to SESE Caucus. DSA reps must also distribute GSA emails, put up GSA flyers in SESE, liaise with CUPE3907 and attend their meetings (which occur three times a year), and report important announcements to SESE’s Caucus’ Chair, should they arise between Caucus meetings.
SESE Office Space & Locker Coordinator and Computer Room Rep:
This position requires one student who coordinates desk and locker allocations with SESE’s Business Manager and Student Caucus (including both existing and new space assignments). This position runs from October to September, but majority of the work is done in August and September. The position also includes looking after our Department’s student computer room, and requires that students can email this rep if computer problems arise (i.e. the printer is out of ink). This position does not require a working knowledge of computer hardware, just a dash of patience when working with OISE’s Education Commons, Student Caucus, or the Department itself, in terms of fixing and maintaining these computers (and their equipment). It may also require the making of signs for the computer room, dependant on the issue.
SESE Student Mentor Coordinator:
This position requires one student who coordinates the pairing of SESE’s incoming students with existing students, to provide a point person for questions and support during the orientation process. Two (or more) students could coordinate this program. The main duties of this position involve updating and distributing outreach materials, soliciting student mentors, processing mentor requests and pairing students. The bulk of the work takes place during the summer (in coordination with new student mailouts) and early fall, but runs from October to September. This position currently is held by Cindy Sinclair.
CAUCUS COMMITTEES AND POSITIONS
Chair’s Advisory Committee
This committee meets monthly and is run by SESE’s Department Chair to discuss issues and events that affect the department as a whole. This committee requires two student volunteers, who can commit to these meetings from September to April.
SESE Graduate Student Conference Committee
This committee requires four to six students who are able to commit large chunks of planning and set-up time for SESE’s International Conference held each March/April. The bulk of this committee’s work occurs in the October-November period, and in the January-early March period. Admissions Committee
This committee reviews and adjudicates the admission applications of new students to SESE. Student responsibilities include reading application files and establishing entrance rankings. In addition, students may be asked to independently read and assess a sample of application files. The committee functions intensively from mid-January until the end of February. At minimum, two meetings are required in January and two in February. These meetings sometimes require several hours and it would be best to count on the spending most of each of these four days involved in the process. This committee requires four to six students. It is also expected that students who are currently enrolled in the Master’s program and who intend on applying to the PhD. program not participate in this committee to avoid any personal conflict of interest.
Events Committee
This committee organizes various departmental events (i.e. holiday and end of year parties, SESE Orientation, Faculty Lecture Series promotion, etc.). This committee runs from October to September, but mainly, meets once or twice prior to each event (for planning purposes). Programs Committee
This committee discusses and decides the courses that SESE will offer for the upcoming academic year. The committee examines issues such as when a course was last offered and/or student demand for particular courses. This committee requires four students.
